Editing Microsoft Word Document
Editing Microsoft Word Document
The process of making changes into the document is called Editing. It is the most important feature of the Microsoft Word. Mostly the editing activities are performed on the selected text by selecting the commands from the Edit menu or using icons on the toolbar. Some features of editing are explained below.
1. Inserting and Deleting Text
In inserting process, new text or objects are inserted into the document. You can insert the system Date & Time, page numbers, special symbols, pictures etc. from Insert menu. To insert text or any object into the document, place the cursor where you want to insert any object and apply the command.
In deleting process, text or objects are removed from the document. The Delete command from the Edit menu is used to delete the selected text or object. Similarly, Del and Backspace keys are used to delete text or object. The deleted texts are not transferred in the clipboard.
2. Copy/Cut and Past Text
The copy/cut & paste are important features and commonly used operations in Microsoft Word. The data can be transferred from one location of document to another location (or between Windows applications) through clipboard. In first step, data is transferred to the clipboard and then from clipboard it is pasted to same document or different document or different application program. The commands that are used for this purpose are:
Copy - This command is used to copy the selected text or object to clipboard.
Cut - It is used to move the selected text or object to the clipboard.
Paste - It is used to paste (insert) the text or item from the clipboard into the specified location of document.
3. Undo and Redo
In Microsoft Word, you can cancel or re-cancel most recent actions that were performed in the current document. These actions may be copy/cut, paste, delete, formatting text etc. These actions are cancelled or re-cancelled in order in which they were performed. The commands that are used for canceling and re-canceling action are:
Undo - This command is used to cancel an action.
Redo - This command is used to cancel an Undo command action.
4. Finding and Replacing Text
In Microsoft Word, text can be searched into the current document and the searched text can also be replaced with another one. The finding and replacing processes are:
Finding Text - The process of searching or finding a specified text into the document is called finding text. In Microsoft Word, it is performed with Find command.
Replacing Text - The process of finding text into the current document and replacing it with another one is called replacing text. In Microsoft Word, it is performed with Replace command.
5. Proofing Word Document
The most important feature of the Microsoft Word is proofing of document. The incorrect spellings of the words and grammatical errors in the document can be checked & corrected. Similarly, if there is a difficult word in the document then an alternative simple & easy word can be selected. The tools that are used for the proofing of a document in Microsoft Word are:
Spelling Checker - Microsoft Word also has the ability to check incorrect spelling of words in the document and correct these words. In addition, Microsoft Word’ also has AutoCorrect feature that automatically fixes some common mistakes such as replacing “teh” with “the” etc.
Grammar Checker - Microsoft Word also has the ability to check grammatical errors in the document and correct these grammatical errors.
Thesaurus - Thesaurus means vocabulary. Microsoft Word has a complete dictionary and you can select a simple word for a difficult word from a list of alternative words.
