Managing Files and Folders Part 1

The data (documents) and programs are stored permanently on the disk by giving a name called the filename. In Windows, a filename may contain maximum 255 characters including spaces. The characters "", ,"/", "?","<",">", "|" cannot be used in a filename or folder name. For example, “Student records” is a valid filename or document name.

A filename also has extension separated with dot. In Windows, all the application programs automatically add extension to the filename or document name. For example, extension of word document is “.doc”, text file is “.txt”, Excel file is “.xls” etc. The extension of filename identifies the type of file. It is suggested that a filename or document name should be related to the information that is stored in it.

A folder or directory contains a list of files stored on disk. It is just like a files cabinet that is used to keep the files. Each disk has a root directory or folder, which is automatically created when a disk is prepared to store data through operating system. The new folders are created under the root directory. The root directory is represented by ““ letter. A folder may have sub-folders and each sub-folder can further have sub- folders etc. The rules to give name to a folder or sub-folder are same as for filename. The user can easily manage files or documents in folders.

Windows operating system creates automatically some folders like “My Document”, “Recycle Bin”, “Windows” etc. Similarly, when a new application program is installed in your computer, a folder is created for that program and all program files & data files of that program are stored in it. The Windows 2000 operating system is also stored on hard disk with folder name “Windows”. The folders can be renamed, deleted or copied from one location to another.

In Windows Operating system, “My Computer” and “Windows Explorer” tools are used to manage files & folders. The files & folders can be copied or moved from one location to another, new files & folders can be created etc. Similarly these can be renamed or deleted etc.

The following points must be noted:

  • Floppy Drive Icon -  floppy drive is represented as “A:” or “B:” and icon for floppy drive is shown in figure.
  • Local Disk - “C:” to “Z:” are used for hard disk drive and icon for hard disk drive is shown in figure.
  • CD or Compact Disk Icon - The icon for CD-ROM drive is shown in figure.
  • Folder Icon - The icon for Folder is shown in figure.
  • File Icon - The icon for File or document is shown in figure
